How to get the best room rates for you and your group

I’ve chosen this topic for my first blog post because it’s a question I’m so frequently asked by clients who have to organize a business event and reserve rooms for participants coming from out of town.
Obviously, the budget for accommodations is a major expense for meetings of this sort, and it can become a real headache. So here are a few of my own secrets!
The first thing to bear in mind is that hotel room prices depend not only on the time of year but also on the day of the week. The days most in demand for meetings are Tuesday, Wednesday and Thursday…which automatically impacts their prices.
The best way to get a favourable rate is to hold your meeting on a Monday and have people arrive Sunday night.
It’s simple. Because room rates are generally at their lowest on Sundays, a hotel will be more willing to lower its rate that night and for the duration of your group’s stay.
This is a win-win arrangement: for the hotel because we can fill more rooms on Sunday and for you because you’ll have certainly negotiated a more favourable rate for your group.
